Beyond Health MedSpa’s Consultation Fee, Deposit, Cancellation & Refund Policy
At Beyond Health MedSpa, we are committed to providing professional aesthetic care while respecting the time of our patients, providers, and clinical team.
To maintain smooth scheduling, protect reserved provider time, and ensure fairness to all patients, the following policies apply to consultations, treatment appointments, deposits, reservation deposits, cancellations, rescheduling, refunds, packages, prepaid services, and specialty procedures.
By scheduling an appointment, making a payment, providing a payment method, signing clinic documentation, or proceeding with services at Beyond Health MedSpa, you acknowledge that you have read, understand, and agree to the policies listed below.
These policies are designed to clearly explain how appointment reservations, consultation fees, specialty procedure deposits, cancellations, rescheduling requests, and refund reviews are handled.
All policies are subject to applicable law.
CONSULTATION FEE POLICY
In-Person Consultations
A $50 consultation fee is required to reserve all in-person consultations and evaluations.
The consultation fee will be applied toward an eligible treatment if the patient proceeds with treatment on the same day, unless otherwise stated in writing.
If the patient chooses not to proceed with treatment, the consultation fee is non-refundable, as it covers provider time, evaluation, scheduling, and administrative resources associated with the appointment.
Virtual Consultations
A $50 consultation fee is required to reserve all virtual consultations and evaluations.
The consultation fee will be applied toward an eligible treatment if the patient proceeds with treatment, unless otherwise stated in writing.
If the patient chooses not to proceed with treatment, the consultation fee remains non-refundable.
Consultation Appointment Terms
Consultation fees are intended to reserve provider time and scheduling resources and are not transferable to another person.
Consultation fees are non-refundable once the consultation appointment has taken place.
Appointments may be rescheduled once if notice is provided at least 24 hours before the scheduled appointment time.
Additional rescheduling requests, repeated scheduling changes, late cancellations, or failure to attend a scheduled appointment may require a new consultation fee to reserve a future appointment.
Late Cancellation or No-Show:
Appointments canceled with less than 24 hours' notice, or appointments missed without notice, may result in forfeiture of the applicable Consultation Fee.
Short-Notice Appointments:
Appointments scheduled within 24 hours of the appointment time must be canceled at least 4 hours before the appointment time to avoid forfeiture of the applicable Consultation Fee.
SPECIALTY PROCEDURE RESERVATION DEPOSIT POLICY
For specialty procedures and treatment plans totaling $2,500 or more, including but not limited to Endolift®, PDO Threads, BeyondLífte™, advanced facial rejuvenation procedures, combination treatments, and other specialty procedures determined by Beyond Health MedSpa, a $250 Reservation Deposit is required to reserve provider time and scheduling resources.
The Reservation Deposit:
• Will be applied toward the total treatment cost if the patient proceeds with the scheduled treatment.
• Becomes effective immediately upon payment and reservation of the specialty treatment appointment.
• Reserves provider time, treatment planning, scheduling coordination, administrative processing, room availability, clinic resources, and reserves appointment availability and scheduling resources that may otherwise be available to other patients.
• Is separate from consultation fees unless otherwise stated in writing.
• Becomes non-refundable immediately upon payment and reservation of the specialty treatment appointment.
• Will be retained by Beyond Health MedSpa if the patient cancels, requests a refund, repeatedly reschedules, changes the treatment plan, fails to attend the appointment, or does not proceed with the scheduled specialty treatment.
This Reservation Deposit is not an additional treatment charge when the patient proceeds with the scheduled treatment. The Reservation Deposit is credited toward the total treatment cost.
The Reservation Deposit is intended to compensate Beyond Health MedSpa for reserved professional time, treatment preparation, scheduling commitments, administrative work, and limited appointment availability and is not intended as a penalty.
Because specialty procedures frequently require extended appointment times and may be scheduled weeks or months in advance, the Reservation Deposit becomes non-refundable immediately upon payment and reservation of the specialty treatment appointment and is not limited to the final 24 or 72 hours before treatment.
Specialty Procedure Scheduling Changes
Beyond Health MedSpa may allow one courtesy reschedule at its reasonable discretion.
If a reschedule request is approved, the Reservation Deposit will remain applied toward the patient's specialty treatment appointment; however, the non-refundable status of the Reservation Deposit remains unchanged.
If scheduling changes are initiated by Beyond Health MedSpa, the Reservation Deposit will remain applied toward the patient's treatment and will not be negatively affected by the scheduling adjustment.
Additional scheduling changes, repeated rescheduling requests, or modifications that significantly affect scheduling, provider availability, or appointment availability may require an additional deposit, management approval, or other scheduling requirements at Beyond Health MedSpa's discretion.
PAYMENT METHOD FOR CONSULTATION FEES, DEPOSITS & TREATMENTS
Payments for consultations, deposits, reservation deposits, treatments, packages, products, and services may be collected in full, partially, or through approved financing programs.
Accepted payment methods may include cash, credit cards, debit cards, financing providers, and other payment methods approved by Beyond Health MedSpa.
Payments made through financing providers, including but not limited to Cherry®, CareCredit®, PatientFi®, or other third-party financing companies, remain subject to the terms, conditions, approval requirements, processing procedures, and refund timelines of the applicable financing provider.
Beyond Health MedSpa is not responsible for financing approval decisions, interest rates, loan terms, payment schedules, lender fees, or delays associated with third-party financing providers.
Payments made through cash, Zelle®, or other direct payment methods will follow Beyond Health MedSpa's applicable refund policies for eligible unused services when appropriate.
All balances for services rendered, products used, treatments performed, or fees authorized under clinic policies remain the responsibility of the patient.
Prices, promotions, packages, and treatment offerings may change without notice.
CANCELLATION & RESCHEDULING POLICY
To help maintain appointment availability and respect reserved provider time, Beyond Health MedSpa requires advance notice for appointment cancellations and scheduling changes.
For purposes of this policy, the "Reserved Service Amount" refers to any consultation fee, treatment fee, reservation deposit, deposit, down payment, booking fee, prepaid amount, or any other payment associated with a scheduled appointment.
Standard Appointments
Patients are requested to provide at least 24 hours' notice for cancellations or rescheduling requests.
Appointments canceled with less than 24 hours' notice may result in forfeiture of the applicable Reserved Service Amount associated with the appointment.
Missed appointments, also referred to as No-Shows, may result in forfeiture of the applicable Reserved Service Amount associated with the appointment.
Appointments scheduled within 24 hours of the appointment time must be canceled at least 4 hours before the scheduled appointment time to avoid forfeiture of the applicable Reserved Service Amount.
Specialty Procedures
Specialty procedures and treatment plans totaling $2,500 or more remain subject to the Specialty Procedure Reservation Deposit Policy listed above.
For specialty procedures, the $250 Reservation Deposit becomes non-refundable immediately upon payment and reservation of the specialty treatment appointment and will be credited toward the treatment cost if the patient proceeds with treatment.
Cancellation requests, refund requests, repeated rescheduling requests, treatment modifications, failure to attend the appointment, or failure to proceed with the scheduled specialty treatment will result in retention of the applicable Specialty Procedure Reservation Deposit according to clinic policy.
Repeated Scheduling Changes
Repeated cancellations, excessive rescheduling requests, or scheduling patterns that significantly affect appointment availability may require an additional deposit, prepayment, or management approval before future appointments can be reserved.
Reasonable Discretion
Beyond Health MedSpa reserves the right, at its reasonable discretion, to enforce, waive, or modify scheduling, cancellation, rescheduling, and deposit requirements based on circumstances including emergencies, scheduling history, business needs, or other factors deemed appropriate by management.
APPOINTMENT CONFIRMATION POLICY
Beyond Health MedSpa provides appointment confirmations and reminder notifications as a courtesy to patients.
Patients remain responsible for knowing and attending their scheduled appointment date and time regardless of whether a reminder, email, text message, voicemail, or other notification is received.
Patients are responsible for maintaining current and accurate contact information with Beyond Health MedSpa.
Beyond Health MedSpa reserves the right to contact patients through phone calls, text messages, email communications, or other approved communication methods regarding appointments, scheduling changes, treatment coordination, account information, and other clinic-related communications.
If an appointment requires confirmation and confirmation is not received within the requested timeframe, Beyond Health MedSpa reserves the right to release, cancel, or reschedule the appointment in order to accommodate other patients.
Appointment reminders and notifications are provided as a courtesy and do not alter or waive any cancellation, rescheduling, reservation deposit, or refund policies.
REFUND POLICY
Beyond Health MedSpa provides professional aesthetic services, treatments, procedures, and products that may involve provider time, treatment planning, administrative processing, product preparation, and reserved clinical resources.
Refund requests must be submitted in writing and are reviewed individually according to clinic policies, treatment status, services rendered, products ordered, payment method requirements, financing provider terms, and applicable law.
If a refund request is approved, Beyond Health MedSpa reserves the right to deduct any applicable:
• Consultation fees
• Specialty Procedure Reservation Deposits
• Administrative fees
• Products ordered, prepared, allocated, customized, or reserved for the patient
• Prescriptions or supplies ordered for the patient
• Services already rendered
• Treatments already performed
• Medical supplies utilized
• Financing fees, lender fees, or payment processing fees
• Package discounts, promotional pricing adjustments, or complimentary service values
• Any other earned charges associated with the treatment plan
Refunds, when approved, may require up to 15 business days for processing after approval. Additional time may be required depending on the original payment method, bank processing timelines, or third-party financing providers.
Approved refunds will be issued to the original payment method whenever reasonably possible.
Refund processing timelines provided by financing companies, banks, lenders, or third-party payment providers are outside the control of Beyond Health MedSpa.
PRE-ORDERED PRODUCTS & SERVICES RENDERED
Certain treatments and procedures may require Beyond Health MedSpa to prepare, reserve, allocate, order, customize, or obtain products, medical supplies, prescriptions, materials, or other resources specifically associated with a patient's treatment plan.
By purchasing services, scheduling treatment, or proceeding with a treatment plan, patients authorize Beyond Health MedSpa to reserve or prepare any products, supplies, prescriptions, materials, or resources reasonably necessary for treatment.
Once products, prescriptions, medical supplies, or materials have been ordered, prepared, customized, opened, reserved, or allocated for a patient's treatment, associated costs become the responsibility of the patient and may be deducted from any eligible refund according to clinic policy.
Services Rendered
No refunds will be issued for products, procedures, treatments, packages, or services once they have been administered, injected, opened, performed, provided, or otherwise rendered.
Aesthetic treatments are elective procedures. Individual results vary, and no specific result, improvement, cosmetic outcome, or level of satisfaction can be guaranteed.
Patients understand and acknowledge that aesthetic treatment outcomes vary from person to person and specific results cannot be guaranteed.
Additional treatments, maintenance sessions, follow-up care, or adjustments may be recommended depending on the patient's individual goals, response to treatment, anatomy, and clinical circumstances.
PACKAGES & BUNDLED SERVICES
Treatment Packages & Series
Treatment packages and treatment series are offered at discounted or promotional pricing based on completion of the full recommended treatment plan.
Once a package or treatment series has started, it is considered active.
If a patient chooses to discontinue, cancel, or request a refund for a package or treatment series before completion, any eligible credit or refund review will be calculated after deducting:
• The regular non-discounted value of all services already performed
• Products used or allocated
• Consultation fees
• Specialty Procedure Reservation Deposits
• Administrative fees
• Promotional discounts applied
• Complimentary services or benefits received
• Any other earned charges associated with the treatment plan
Package pricing and promotional pricing become void if the full package or treatment series is not completed.
Unused balances, if eligible, may be converted to clinic credit at the sole discretion of Beyond Health MedSpa.
Bundled Services and Complimentary Services
Complimentary services, promotional services, discounts, bonus treatments, or additional benefits included with a package are considered part of the overall package value and are not assigned a standalone value while the package remains active.
If a package is discontinued or a refund request is approved, complimentary services and promotional benefits previously received may be assigned their standard value and deducted before calculating any eligible remaining balance.
If the value of completed services, products used, retained deposits, discounts received, or other earned charges exceeds the amount paid, no refund amount will be due.
REFUNDS FOR UNUSED SERVICES
If no treatment, product, package, procedure, or service has been performed or rendered, a patient may submit a written refund request for review.
Refund requests are reviewed individually according to clinic policies, treatment status, services rendered, products ordered or prepared, payment method requirements, financing provider terms, and applicable law.
If a refund request is approved, Beyond Health MedSpa may deduct any applicable:
• Consultation Fees
• Specialty Procedure Reservation Deposits
• Administrative fees
• Products ordered, allocated, customized, or prepared for treatment
• Prescriptions or supplies ordered for the patient
• Financing fees, lender fees, or payment processing fees
• Promotional discounts or package adjustments
• Complimentary service values
• Any other earned charges associated with the treatment plan
For specialty procedures and treatment plans totaling $2,500 or more, the Reservation Deposit remains non-refundable immediately upon payment and reservation of the specialty treatment appointment, even if treatment has not yet been performed.
Refund processing timelines remain subject to the Refund Policy listed above and may vary depending on banks, financing companies, or third-party payment providers.
Refunds, when approved, will be issued to the original payment method whenever reasonably possible.
CHARGEBACK & PAYMENT DISPUTE NOTICE
Patients agree to contact Beyond Health MedSpa before initiating a chargeback, financing dispute, payment reversal, or credit card dispute.
Patients acknowledge that signed consents, treatment records, scheduling records, communication records, photographs, payment authorizations, invoices, receipts, financing agreements, and clinic policies may be used to verify and support authorized transactions and services rendered when responding to payment disputes.
GOVERNING LAW
This policy shall be governed by the laws of the State of Florida. Any dispute arising from services provided by Beyond Health MedSpa shall be subject to the applicable laws of Florida and handled in the appropriate court located in Miami-Dade County, Florida, unless otherwise required by law.
PATIENT ACKNOWLEDGMENT
By scheduling an appointment, making a payment, providing payment information, signing clinic documentation, or proceeding with services at Beyond Health MedSpa, patients acknowledge that they have read, understand, and agree to this Consultation Fee, Deposit, Cancellation, and Refund Policy.
Patients understand and acknowledge that Beyond Health MedSpa may apply, retain, process, or deduct applicable consultation fees, Specialty Procedure Reservation Deposits, administrative fees, product charges, treatment charges, and other authorized amounts according to these policies.
Patients acknowledge that Specialty Procedure Reservation Deposits, consultation fees, package adjustments, and other earned charges described in these policies may be retained or deducted when applicable.
Patients acknowledge that signed treatment documentation, payment authorizations, consent forms, treatment records, scheduling records, communication records, photographs, invoices, receipts, financing agreements, and clinic policies may be used to verify and support authorized transactions, services rendered, and payment disputes when necessary.
Continued use of Beyond Health MedSpa's services, scheduling systems, payment systems, and appointment booking processes constitutes acceptance of these policies.
